All participants of the conference (delegates, speakers, sponsors and exhibitors) must register to attend the conference and wear a correct name badge at all times. Due to strict insurance conditions, shared registrations are not permitted. Delegates not able to attend for the full conference should register for day rates. It is not possible for the general public to access any part of the conference or exhibition without paying a registration fee.

All profits from the 2025 IAG T-shirts and any additional donations will go to the Newcastle Hazara Community, a local, Hazara-led organization with strong leadership from Hazara women. They share their goal is to “empower voices, celebrate diversity and foster connections in Newcastle.

Funds will support their unfunded, volunteer-run mother literacy program for Hazara children in Newcastle, led by qualified Hazara teachers. Donations will help purchase mother-language books, pay community teachers, and cover hall hire. Any surplus will support other programs, including a women’s mental health initiative and community soccer teams.

Hazara people are one of Afghanistan’s largest ethnic groups but have long faced discrimination and violence. Your support helps sustain the crucial continuity of Hazara language, culture, and well-being in Newcastle.

Registration Conditions

Payments

Payment is required to confirm registration and is due on receipt of invoice. Payment for Earlybird registrations is due by 30 May, otherwise regular registration rates will apply. Payment for registration fees and social functions must be received on receipt of invoice, but no later than Wednesday 25 June 2025.

Tax Invoice and Receipts

Once a registration form has been received, a registration confirmation email and tax invoice/receipt will be sent to the email address provided on the registration form.

Refunds and Cancellations

All cancellations must be made in writing to East Coast Conferences. Registration fees will be refunded less a 25% cancellation fee prior to 5pm on Friday 23 May 2025. After this date we regret that no refunds will be made, however substitute delegates will be accepted. Please note that cancellation fees will apply whether or not payment is received at the time of registration. By submitting the registration form, you are agreeing to these conditions.

Shared Registrations

Please note one registration form with payment must be received per delegate attending. Shared registrations are not permitted due to legal and insurance reasons. Day registration rates are available should you be unable to attend the full conference.

Insurance

Attendee’s registration, and social function ticket fees do not include insurance of any kind. The organisers recommend taking out an insurance policy of your own choice with your local insurance or travel agent.

Earlybird Registration

Available for registrations received by 5pm AEST on 16 May 2025. Payment must be received by Friday 30 May 2025, otherwise regular rates will apply.

Full Registration

Full registration rates include all conference materials; access to all conference sessions; daytime catering; option to attend Postgraduate Student Day; option to attend Student Groups Day; one ticket to the Welcome Drinks. Payment is due within 14 days of invoice date (all payments must be received by Wednesday 25 June 2025).

Day Registration

For delegates who are only able to attend part of the conference, there are Day Registration rates available for attendance on the Wednesday, Thursday or Friday. Due to strict insurance restrictions, shared registrations are NOT permitted. Day registration rates include all conference materials; access to all conference sessions on the chosen day and daytime catering for the chosen day. Day registration rates do not include entry to social functions however, delegates can purchase tickets for these events separately. Payment is due within 14 days of invoice date (all payments must be received by Wednesday 25 June 2025).
